In the first half of 2014, Greece assumed the Presidency of the Council of the European Union (EU). During the Presidency, many conferences and meetings took place, mainly in Zappeio Megaro, with the participation of representatives of the EU countries. Our company organized various events on behalf of the Ministry of Labour, Social Security and Welfare. We are presenting below one of these events, the European Conference on Occupational Safety and Health (OSH) – “OSH policy in the future”.

The conference was organized on June 16-17, 2014, at Zappeio Megaro, with the participation of 160 delegates from the Greek Government, all the countries of the European Union as well as candidates for membership and associated with the EU countries (Croatia, Switzerland, Norway, etc.). Welcome speeches were provided by the then Minister of Labor Mr. I. Vroutsis and the Deputy Minister Mr. V. Kegeroglou, while the then European Commissioner for Employment Mr. A. László also participated in the proceedings of the second day of the conference.

ANTENNA Communication Consultants undertook the full organization (from planning to evaluation) of the European Conference, with the following tasks:
  • The planning of the event with its schedule and budget.
  • The research to find the proper suppliers of the event’s materials (conference bag, memory stick with the presentations of the Conference and other materials), as well as services (transportation, etc.). We took care of printing the logos of the Greek Presidency, the Ministry of Labour and the European Commission as well as the name of the conference on the various materials and coordinated the supply of all materials.

  • The layout and printing of the invitation and all printed conference material (agenda, list of participants, etc.), as well as the promotional material (e.g. roll-ups) of the event.
  • The creation of a printed workbook including the presentations, the bios and the pictures of all presenters. Also, the upload of the presentations onto a memory stick and the archiving of all the material in the conference bags.
  • The supply of the conference’s gift which was a guide (book) of the Acropolis Museum.
  • The provision of simultaneous interpretation services in 4 languages (from/to Greek, English, French and German) throughout the duration of the Conference, with two interpreters per language.
  • The preparation of attendees’ lists (at the conference and at the visit to the Acropolis Museum).
  • The photographic coverage of both days of the conference.
  • The issue and distribution to the conference’s participants of their personal security passes (for their access to Zappeion Megaro) and the issue of coaches and taxis permits.
  • The staffing and operation of the Secretariat (hosting service) throughout the conference. Also, the presence of the project manager of our company for the best coordination of all the actions of the event.
  • The coordination of the transportation of all delegates from/to their hotel and Zappeio Megaro.
  • Providing informative material to the Media and facilitating interviews with the Minister and Deputy Minister of Labour, the European Commissioner for Employment, etc.
  • The distribution of an evaluation questionnaire to all conference attendees and the collection and statistical processing of their answers. Also, the creation of an evaluation report.
  • The financial management and the preparation of a financial report.

In addition to the services we offered for the organization of the conference at Zappeio Megaro, our company also took care of the entertainment program for the conference’s participants by organizing a guided tour of the Acropolis Museum and a dinner at the Museum’s restaurant. During the dinner, the participants, in addition to the wonderful view of the Acropolis, had the opportunity to enjoy Greek melodies and songs by performers of the National Opera.
